Default Service Status Flags of the default Service Statuses
A Service Statuses form can be opened by clicking on + Add Status button or clicking on the Edit icon on the Service Statuses settings page.
Head on to Settings > Service Statuses.
Click on the + Add Status button.
A blank form open.
In the form we see three Service Status flags which are Requires Payment, Is Cancellation, and Is Completed.
There are five default Service Statuses.
Initially, each of these default Service Statuses assumes default values of their Service Status flags.
By clicking on the Edit icon, you will see the default values of their Service Status flags.
Scheduled
Cancelled
Performed
Completed
Late Cancelled
To summarize, here is a table.
Impact of the Service Status Flags on Services Summary Chart
The Service Summary Chart is displayed by heading on to:
Reports > Financial Detail
Then scroll to the Services section.
This chart is a summary of the total amount paid for Service Type per Service Status for the sessions. In this chart $75 was the total amount paid for the Performed Counselling sessions; and $150 was the total amount paid for the Scheduled Counselling sessions.
A Sessions form can be opened by adding a new session or editing an existing session.
To add a new session, head on to Sessions then click on the Add Session button.
Suppose we set Scheduled for Service Status; and Group Dynamics for Service Type.
A Session form has a flag field named Paid. Suppose we leave Paid unchecked.
Click on Save.
The newly created session will be listed at the list of sessions in the Sessions page.
To check if this newly created session is reflected in the Service Summary Chart, head on to:
Reports > Financial Detail
Then scroll to the Services section.
That newly created session is not reflected in this chart because it is not yet paid.
Suppose the customer has paid that we need to indicate that payment in the Jisti database.
Head on to Sessions page, locate the record and click on the Pay icon.
Another way to indicate that the payment is done, is to edit the session form.
Click on Edit icon.
Check the Paid flag and click Save.
Notice that a message Paid appears for the session in the Sessions page.
To check if the change is reflected in the Service Summary Chart, head on to:
Reports > Financial Detail
Then scroll to the Services section.
That newly created session is now reflected in this chart. $77 is the total amount paid for the Scheduled Service Status with Group Dynamics Service Type.
The logic wherein a session is reflected in the Service Summary Chart depends on the value of four flags, which are the Paid flag which can be edited from the Sessions form; and the three Service Status flags (Requires Payment, Is Cancellation, Is Completed) which can be edited from the Service Statuses settings page.
Table that summarizes the logic.
The Row 2 in the table is exemplified by the example above, that is, a Paid Scheduled session will be reflected in the Service Summary chart.
Suppose we change the Service Status to Late Cancelled.
To check if that session is reflected in the Service Summary Chart, head on to:
Reports > Financial Detail
Then scroll to the Services section.
The Group Dynamics session is not anymore reflected in the chart. This should be the case according to Row 8 in the table.
Important Note:
Whenever we add or edit a service status in the Settings page and decide what values we put in the three Service Status flags (Requires Payment, Is Cancellation, Is Completed), we should refer to the table to understand the impact of the Service Status Flags on Services Summary Chart.
