Yearly Summary Statistics
Booked is a running total of the monetary value and booked hours for all the sessions in the current financial year.
Paid is a running total of all the hours and money you have been paid for sessions you have performed in the current financial year.
The W/M/ALL selector allows you to choose whether you wish to see your bookings displayed over the week (W), over the entire month (M) or display a filtered list of all your sessions
Weekly view
Shows a weekly summary of sessions.
- You can click on the arrows on either side of the week to move forward or backward one week at a time.
- The numbers directly below each date indicate the number of hours you have booked in for that day.
- When you then click on an individual day, the details of that day’s appointments can be seen.
To modify any details of an individual session, click on that session. Details of how to book sessions, modify sessions, generate invoices and send email reminders of upcoming sessions are all covered in the sections below.
Monthly view
Shows a monthly summary of session
The numbers directly below each date indicate the number of hours you have booked in for that day. The more hours booked the darker the highlight colour.
If you click on a day that days session list is displayed. You can collapse the list again by clicking on the up arrow in the day cell.
You can click on the arrows to the left and right of the month to move backward or forward one month at a time.
You can add sessions to the currently selected day by clicking on the ‘Add Sessions’ button in the same way as the weekly view.
All view
When you select All, all sessions from one month before the current date to one month after the current date are automatically displayed. You can modify your search by using the calendar to choose specific dates. You can also modify your search by selecting which Status, Service Type and Filter you are interested in. E.g. A practitioner may wish to look at sessions that are still unpaid so they can send a follow up email requesting payment. They can do this by selecting ‘Unpaid’ in the Filter field.
Note: You cannot add a session or jump to a specific date while in the ‘All’ view.
Year summary selector
If you click on the down arrow next to the displayed date on the weekly or monthly view, a yearly selector will be displayed.
The selector displays the months of the year with a count of the hours booked for that month.
If you click on one of the months the selected date changes to the first of that month and the selector closes.
If you click on the arrows left and right of the months the year displayed will move backward or forward in time.
Note: This selector is not available in the ‘All’ view.
Quick Date Jump
This allows you to quickly jump to a specific date by typing it in and pressing GO
Add Session
To create a new appointment, click on the ‘Add Session’ button.
You can also block out time that you want to reserve for non-client session work. i.e. Coffee with friends or a dentist appointment. To do this just click on the down arrow on the right of the ‘Add Session’ button and choose ‘Block Time’
Remember, you can always modify an existing session or blocked out time by clicking on the entry in the session list.
Session list
The session list shows a short summary of the appointments.
Each entry displays (from left to right):
- the start and finish time of the session or blocked time.
- Status colour bar – each status, Scheduled, Performed, Completed, etc, can be assigned a unique colour and this is displayed here to allow you to see the status of a session at a glance.
- Session summary including the client the session is for, the service type, optional service tag and whether the session is paid or invoiced.
- Quick status selector to change the status of a session
- Quick pay selector to mark the session as paid
- Duration of the session or blocked time
- Action menu selector – click this to jump to session edit, invoicing, case notes or notification email.
